Getting Started

What is Xovron?+

Xovron is an AI-powered document automation platform. You upload invoices, bills, receipts, and purchase orders — our AI extracts every field, routes the document through your approval workflow, and posts it directly to QuickBooks, Xero, or your accounting software automatically.

How does the free trial work?+

Your trial is 3 days and includes up to 6 document uploads. No credit card required. You get full access to all core features including AI extraction, approval workflows, and accounting integrations.

What file types does Xovron accept?+

PDF, JPEG, PNG, TIFF, and HEIC files — up to 10MB per file, 20 files per upload. Email forwarding is also supported: forward any invoice to your sync address and it lands directly in your queue.

How accurate is the AI extraction?+

Extraction accuracy is 95%+ on standard invoices. Every field has a confidence score (0–100%). You review and approve before anything posts to your accounting software — the AI never acts autonomously.

Pricing & Plans

What plans are available?+

Plans start at $9/mo (Starter — 50 docs/mo). Business, Premium, Professional, and Enterprise plans are available for higher volumes and team sizes. Agency plan is unlimited. See our pricing page for full details.

Is AI Assistance included in all plans?+

No. AI Assistance (Xova AI) is a paid add-on at $19/mo. It is not included in any plan by default. You can add it from your settings after subscribing.

Can I change plans anytime?+

Yes. You can upgrade or downgrade at any time from Settings → Billing. Upgrades take effect immediately; downgrades take effect at the start of your next billing cycle.

Do you offer refunds?+

We offer a 7-day refund on your first month if you are not satisfied. Contact support via live agent chat within 7 days of your first charge.

Integrations

Which accounting software do you support?+

QuickBooks Online, Xero, Sage, FreshBooks, Wave, Zoho Books, MYOB, NetSuite, SAP, and Tally — plus a built-in mini-ledger if you do not use any of these.

How does QuickBooks integration work?+

You connect via OAuth — Xovron never stores your QB password. When a document is approved, Xovron creates a bill or expense in your QuickBooks account automatically using your GL mappings.

Can I use Zapier or n8n with Xovron?+

Yes. Xovron has a REST API with API key authentication, plus a webhook system. You can trigger n8n or Zapier workflows on document.approved, invoice.paid, and other events.

Security & Privacy

How is my data stored?+

All documents are stored in your dedicated, encrypted cloud storage bucket (AES-256-GCM). Each account has its own isolated bucket — no shared storage. Data is encrypted at rest and in transit.

Is Xovron GDPR compliant?+

Yes. Xovron is GDPR + PIPEDA compliant. You can export all your data at any time from Settings → Data. Account deletion permanently removes all data within 90 days.

Does Xovron support two-factor authentication?+

Yes. All accounts use email OTP by default. You can also enable TOTP (authenticator app) 2FA from Settings → Security.

Where are your servers located?+

Xovron serves customers in 100+ countries. Your data is private and secure — AES-256-GCM encrypted, GDPR + PIPEDA compliant, and SOC-Ready.

Team & Collaboration

Can I invite my team?+

Yes. You can invite submitters (staff who upload documents) and approvers (managers who review before you). Team limits depend on your plan — Starter includes 1 submitter, Business includes 5.

How does the approval workflow work?+

Submitters upload documents → Manager (if enabled) reviews and approves first level → Owner gives final approval. Nothing posts to your accounting software without your sign-off. All actions are logged.

What are workspaces?+

Workspaces let you manage multiple companies, branches, or client accounts under one login. Professional and higher plans support multiple workspaces. Each workspace has its own document queue and settings.

Support

How do I get support?+

Chat with our Xova AI assistant or escalate to a live agent directly from the chat widget. Registered users also have access to the Help Center. For billing questions, use the live agent chat.

Is there a phone number I can call?+

We do not offer phone support. Chat with our Xova AI or live agent for the fastest response — typically under 2 minutes during business hours.

What AI tools help with accounting and invoice processing?+

Xovron is purpose-built for accounting and finance automation. Xova AI extracts data from invoices, bills, and receipts with 95%+ accuracy, answers questions about your expenses, detects anomalies, and posts to your accounting software automatically — unlike general AI tools that have no accounting context.

Can AI replace manual data entry for invoices?+

Yes. Xovron eliminates manual invoice data entry entirely. Upload or email your invoice and Xova AI extracts every field — vendor, amount, date, line items, GL codes — in seconds. A human still approves before posting, giving you AI speed with human accuracy.

How does AI document extraction work?+

Xovron reads your uploaded PDF, image, or emailed invoice and identifies all key fields using AI. Each extracted field gets a confidence score. You review and correct if needed, then approve — at which point the data is posted to your accounting software automatically.

What is AP automation?+

AP (Accounts Payable) automation is the use of software to handle vendor invoice processing — from receipt and data extraction, through approval, to payment and accounting entry. Xovron automates every step: AI extraction, multi-step approval routing, three-way PO matching, and direct posting to QuickBooks or Xero.

How is Xovron different from using ChatGPT or general AI for accounting?+

General AI tools have no access to your invoices, accounting software, or approval workflows. Xovron Xova AI is embedded in your accounts payable process — it reads your actual documents, knows your vendors and GL codes, and automates the workflow end-to-end. It is accounting-specific, not a general chatbot.

Is Xovron better than entering invoices manually into QuickBooks?+

Significantly better. Manual entry into QuickBooks takes 5–15 minutes per invoice and is prone to errors. Xovron automates extraction and posting in under 2 minutes with AI accuracy, while also enforcing your approval workflow before anything touches QuickBooks.

Can Xovron work without QuickBooks or Xero?+

Yes. Xovron includes a built-in mini-ledger for businesses not using accounting software. You still get AI extraction, approval workflows, vendor management, and expense tracking — without needing a separate accounting platform.

What is three-way matching and does Xovron support it?+

Three-way matching verifies that a purchase order, goods receipt, and vendor invoice all agree before payment. Xovron automates this — it links invoices to POs, checks amounts within a 2% tolerance, and flags mismatches. This prevents overpayments, duplicate payments, and fraud.

Does Xovron support multi-currency?+

Yes. Xovron supports 50+ currencies. Exchange rates are updated every 6 hours. Multi-currency invoices are extracted and converted automatically using your reporting currency.

Is Xovron available in the United States?+

Yes. Xovron is used by US businesses of all sizes. It integrates with QuickBooks Online and supports US tax forms, USD, and US accounting practices. Plans start at $9/month with a free trial.

Does Xovron support UK businesses and VAT invoices?+

Yes. Xovron supports UK businesses, VAT extraction, GBP, and Xero (popular in the UK). The AI extracts VAT amounts, VAT numbers, and UK-format invoice fields automatically.

Is Xovron available in Australia? Does it handle GST?+

Yes. Xovron supports Australian businesses, AUD, GST extraction, and integrates with Xero (widely used in Australia) and MYOB. Tax invoice fields including GST are extracted automatically.

Does Xovron work for Indian businesses? Does it support GST invoices?+

Yes. Xovron supports Indian businesses, INR, and Indian GST invoice formats including GSTIN extraction, HSN codes, and IGST/CGST/SGST fields. It integrates with Tally and other accounting platforms used in India.

Is Xovron GDPR compliant?+

Yes. Xovron is fully GDPR and PIPEDA compliant. Data is encrypted at rest (AES-256-GCM) and in transit (TLS). Each account has isolated storage. You can export or delete all your data from Settings → Data at any time.

Does Xovron support Arabic and right-to-left languages?+

Yes. Xovron supports Arabic, Hebrew, Farsi, and Urdu with full right-to-left (RTL) layout. It is available in 23 languages, making it one of the most multilingual AP automation platforms available.

I am an accountant managing 20 clients. Can Xovron help?+

Yes. The Agency plan ($299/month) is designed for accountants and bookkeepers managing multiple clients. Each client gets a fully isolated workspace. You get unlimited document processing, white-label options, and a reseller program with revenue sharing.

What is the best document automation software for accounting firms?+

Xovron is purpose-built for accounting firms. The Agency plan gives you unlimited documents, unlimited workspaces, white-label branding, and a client management dashboard. You can manage all clients from a single login while keeping their data completely separate.

Can I white-label Xovron for my clients?+
